5 Cold Email Templates

Each template has a cold opener, body, CTA, and 2 follow-up sequences. Customize the [bracketed] sections before sending. Personalization wins — spend 3 min per email reviewing the prospect's LinkedIn/company news before sending.


Template 1 Outbound cold email — single CTA
Follow-Up Sequence

"Hey [First name], wanted to make sure my last note didn't get buried. If [pain point] isn't a priority right now, no worries — just didn't want to assume. Happy to share our process briefly if it's useful."

"Quick follow-up — saw [recent trigger, e.g. 'that they raised a Series B' / 'a new job posting for SDRs']. That usually means someone's scaling outbound. If you're still thinking about it, happy to share what that looks like for companies at your stage."

Template 2 Mutual connection intro
Follow-Up Sequence

"Hey [First name], just circling back on my note. [Mutual connection] suggested I reach out — I know their time is valuable, so I'm sure they had a reason. No pressure if the timing's off, but would love to connect if you're open to it."

"Closing the loop on this one — [Mutual connection] probably has enough on their plate. But if [challenge] is something you're still thinking through, happy to share what's working for similar teams. Otherwise, best of luck with [their goal]."

Template 3 Competitor displacement
Follow-Up Sequence

"Hey [First name], following up on the [Competitor] note. I know evaluating alternatives isn't top of mind right now — but if you're ever curious what companies like [similar companies] are doing differently, happy to share the comparison."

"One more note — [new data point or case study, e.g. 'just closed a company in your space who made the same switch last quarter']. Not saying it's right for [Company], but might be worth a look. Let me know."

Template 4 Education / no-ask format
Follow-Up Sequence

"Hey [First name], did you get a chance to look at that breakdown? Happy to add you to the list of who we're sharing it with — no pitch attached, just the data we promised."

"Last one on this thread — if the timing's off, totally get it. But if you're ever looking to benchmark your outbound approach against what top performers are doing, drop me a note and I'll send it over. Good luck with [their current goal]."

Template 5 Direct ask / ultra-short
Follow-Up Sequence

"Hey [First name], just checking — did you have a chance to think about that bottleneck question? Happy to keep this short if you did. And if this isn't relevant right now, just say the word."

"I usually don't follow up twice, but this one's worth it — we're seeing [specific pattern in their space, e.g. 'teams that nail research get 3x better reply rates']. Might be relevant to what you're working on. No pressure."

How to use these templates: Pick the one that fits your context (founder → Template 1 or 5; warm intro → Template 2; competitor user → Template 3; education-first → Template 4). Then spend 3-5 minutes personalizing each email — LinkedIn profile, recent posts, company news, hiring activity. Generic templates lose. Personalized ones book.
